Illustrative demo, not a real project. It shows the general EstimatorAI workflow; no real project quantities.
What gets measured
| Item | Typical unit |
|---|---|
| Counts of fixtures, devices and other items in the answer | Each (EA), as stated in the response |
| Lengths of pipe, conduit, trim and other runs in the answer | Linear feet (LF), as stated in the response |
| Areas and volumes in the answer | Square feet (SF), square yards (SY) or cubic yards (CY), as stated in the response |
| Table headings, quantity columns and accompanying notes | Spreadsheet cells and text; exported from the selected response |
Common pitfalls
- Expecting a project-wide export: the Excel button downloads the selected AI response, not every project answer or file.
- Assuming exported quantities are verified. Review their source sheets and units before using them.
- Treating the workbook as a pricing template or expecting formulas or live synchronization. It exports the response's table cells and text.
- Applying waste, markup or order rounding twice when transferring quantities into your own spreadsheet.
How EstimatorAI handles it
Ask EstimatorAI about the PDF plans and specs you upload, then check the quantities and their sources. Under the completed answer, choose Download as: Excel, next to Word. The file estimator-response.xlsx is a real .xlsx workbook: tables become cells with their column headings on a Data sheet, and other text goes on a Notes sheet. An answer without a table uses a Response sheet. This exports the selected answer only. The estimator handles pricing, waste and markup in their own spreadsheet. Questions you can ask:
- Put the fixture quantities in a table with item, quantity and unit columns.
- Include the source sheet references alongside the quantities.
- Separate the measured quantities from the assumptions in your answer.
Frequently asked questions
How do I export a takeoff answer to Excel?
Under a completed AI answer, select Download as: Excel. It downloads that single response as estimator-response.xlsx.
What does the Excel workbook contain?
Tables become cells with their column headings on a Data sheet. Other answer text goes on a Notes sheet. If the answer has no table, its text is exported on a Response sheet.
Does this export the whole project?
No. The button exports the selected completed AI response, not a combined project takeoff.
Does the export include formulas or live synchronization?
No. The workbook contains the answer's table cells and text. Pricing, waste, markup and spreadsheet formulas are the estimator's responsibility in their own spreadsheet.
Can I also download the answer as Word?
Yes. The Word option is beside Excel under a completed AI answer.
